What this calculator measures

Software total cost of ownership includes more than the checkout price. Initial migration and training consume money and staff time; recurring administration and support continue after launch; price increases compound across a multi-year contract; and an eventual export or replacement creates another project.

This calculator produces a transparent planning model and year-by-year breakdown. It is most useful when two vendors are evaluated with the same cost definitions and evidence standards rather than optimistic assumptions supplied by different sales teams.

Subscription cost is calculated by year with the selected annual price increase. Administration converts annual internal hours into cost using the entered hourly rate.

Worked example

One hundred seats at $30 per month start at $36,000 a year. Adding setup, migration, training, internal administration and exit can make the three-year total materially higher than the subscription headline.

Assumptions and limitations

  • The model depends on defensible seat counts, staffing assumptions and renewal pricing.
  • Usage-based fees, tax, foreign exchange and financing are excluded unless added to another cost field.
  • Benefits produced by the software belong in a separate ROI comparison.
  • Vendor quotes and contractual caps should replace estimates before purchase.
